How do international clients pay UI/UX designers?

  • Ticket size: Work ranges from short audits and single-screen redesigns to full app or website design projects and monthly retainers with product teams. Larger projects are often split into milestones such as research, wireframes, visual design and handoff.
  • Currencies: Overseas clients usually pay in their own currency, such as USD, GBP, EUR, CAD, AUD or SGD. A client in a country outside the Asian Clearing Union may pay in any foreign currency or in INR under the FEMA (Manner of Receipt and Payment) Regulations, 2023.
  • Client geography: Clients are often software startups, SaaS companies, digital agencies and product teams in the United States, the United Kingdom, Europe, Canada, Australia, Singapore and the Gulf. Agencies that subcontract design work tend to send repeat invoices.
  • Payment methods: Startups and agencies often pay by domestic bank transfer to local account details or by international wire from their finance team. Smaller clients may prefer a card payment link. Clients found on a freelance marketplace pay through the marketplace.

Where does the money go between your client and your bank?

  1. 1Client's bank or card sends the paymentDeduction: A sending fee on a wire, often paid by the client, or none on a domestic transfer. The client's bank charges for international wires, while domestic transfers are usually low cost or free
  2. 2Intermediary or correspondent bankDeduction: A possible flat deduction on SWIFT wires. Banks that pass a SWIFT payment along the route can take a charge from the amount
  3. 3Collecting provider, card gateway or marketplaceDeduction: A percentage or flat fee, plus GST on that fee when charged in India. The service that collects the money charges for collection, checkout or withdrawal
  4. 4Currency conversion to INRDeduction: The gap between the rate applied and the mid-market rate. Banks and providers convert at their own buying rate, which includes a margin
  5. 5Your Indian bank accountDeduction: An inward remittance or certificate charge at some banks. Some AD banks charge for crediting a foreign inward payment or for issuing a certificate

What are the ways for UI/UX designers to receive international payments?

How does Local foreign currency account details work for UI/UX designers?

A provider gives you account details in a foreign country, such as a US routing and account number or a UK sort code and account number. The client pays them as a domestic transfer, and the provider converts the money and sends INR to your Indian bank account.

  • Pros: The client's finance team makes an ordinary domestic payment; No SWIFT intermediary deductions on the client's leg; Suits retainers and milestone billing with the same client
  • Cons: The provider sets its own conversion rate and fee; Money passes through a third party before reaching your bank; Each inward transaction through a PA-CB is capped at ₹25 lakh
  • Cost: A conversion margin and sometimes a flat or percentage fee charged by the provider. The client usually pays only normal domestic transfer charges.
  • Settlement: The client's leg is often same day or next day on domestic rails. The INR credit in India depends on the provider and your bank.
  • FIRA: Ask the provider whether it supplies a bank-issued inward remittance certificate or advice for each payment showing the purpose code. Non-bank providers collecting export receipts need RBI authorisation under the RBI Master Direction on Payment Aggregators.
  • Ideal for: UI/UX designers with regular startup or agency clients in the US, UK, Europe, Canada, Australia or Singapore.

How does SWIFT wire to an Indian bank work for UI/UX designers?

The client sends an international payment from its bank to your Indian bank account using your bank's SWIFT code, your account number and your name. Your AD bank converts the foreign currency to INR and credits your account.

  • Pros: Direct bank-to-bank route with no third-party provider; Your AD bank reports the receipt and can issue an inward remittance certificate; No per-transaction cap, so it suits large product design projects
  • Cons: The client may pay a sending fee; Intermediary banks may deduct charges, so less than the invoiced amount can arrive; Bank conversion rates often sit further from the mid-market rate
  • Cost: A sending fee on the client's side, possible intermediary deductions, an inward charge at some Indian banks and the bank's conversion margin.
  • Settlement: Usually one to a few business days. An RBI circular dated 9 April 2026, effective six months from its date, asks banks to endeavour to credit inward payments received during forex market hours on the same business day.
  • FIRA: Your AD bank can issue a FIRC or inward remittance advice on request. Charges and format vary by bank.
  • Ideal for: Large redesign or product design projects and clients whose finance teams pay suppliers only by wire.

How does Card or online checkout work for UI/UX designers?

You send the client a payment link or an invoice that accepts debit or credit cards. A card gateway collects the money, converts it and settles INR to your Indian bank account.

  • Pros: The client can pay instantly by card; Useful for audits, small fixes and deposits before a project starts; Payment links work without sharing bank details
  • Cons: Card processing fees are usually higher than bank transfer costs; Chargebacks can reverse a payment after design files are handed over; Settlement can take several days
  • Cost: A percentage processing fee per transaction, often with a currency conversion margin and sometimes a fixed fee.
  • Settlement: Usually a few business days after the card payment, depending on the gateway's payout schedule.
  • FIRA: Ask the gateway whether it provides an inward remittance record per settlement or per transaction, and which purpose code it reports.
  • Ideal for: Small or first-time clients who prefer paying by card, and deposits before discovery or research work starts.

How does Freelance marketplace payout work for UI/UX designers?

The client pays the marketplace, which holds the money until a milestone or hourly period is approved. You then withdraw your balance to an Indian bank account through the withdrawal options the marketplace offers.

  • Pros: The marketplace handles client billing and disputes; The client pays in a familiar way; Useful for finding new product design clients
  • Cons: The marketplace takes a service fee or commission from the job value; Withdrawal fees and a conversion margin can apply on top; Funds can be held for a clearing period before withdrawal
  • Cost: A marketplace commission on each job, plus any withdrawal fee and conversion margin set by the marketplace or its withdrawal partner.
  • Settlement: Depends on the marketplace's clearing period and the withdrawal option chosen.
  • FIRA: Check whether the withdrawal option produces a bank-issued inward remittance record with an export of services purpose code.
  • Ideal for: UI/UX designers who find clients through a freelance or design marketplace.

Which platforms are best for UI/UX designers?

The table ranks platforms with full published pricing for USD by the INR received on USD 3,500, then lists other business platforms that accept USD, unranked. Fees were checked on 30 Sept 2026 or later.

How much INR do UI/UX designers receive on $1,000, $3,500 and $8,000?

Each row applies the platform's published fee, FX markup and 18% GST on the fee to the mid-market rate of ₹94.86 per USD for 3 Nov 2026.

What should UI/UX designers look for beyond cost?

  • Milestones: UI/UX projects are often billed in stages, such as research, wireframes, visual design and developer handoff. A method that handles repeat payments from the same client without new setup each time keeps milestone billing simple.
  • File handoff: A card payment can be disputed after you share Figma files or prototypes. Bank transfers do not carry card chargeback rights, so some designers ask for a transfer before transferring file ownership.
  • Full amount: Intermediary deductions on SWIFT wires can leave a shortfall against the invoice. Ask the client to choose the option where the sender pays all charges, or invoice through local account details.
  • Paperwork: Each payment needs an inward remittance record and a purpose code that matches the work. Digital design files may count as software under the 2026 FEMA rules, and the option to file the EDF on or before receiving payment applies only to services other than software.
  • Client ease: Product teams usually pay through their finance or accounts payable process. A method that lets them add you as a domestic supplier often shortens the time to payment.

What compliance documents do UI/UX designers need?

UI/UX designers exporting services need an inward remittance record, the right purpose code, an LUT if GST-registered, and an EDF. The FEMA (Export and Import of Goods and Services) Regulations, 2026 apply from 1 October 2026. Payment must arrive within nine months of the invoice, or twelve months if invoiced or settled in INR.

  • FIRA or FIRC: FIRA is not a term defined in RBI regulations. CGST Rule 89(2)(c) asks for BRC or FIRC details for each invoice in a refund claim, and the DGFT eBRC FAQs explain self-generated eBRCs from bank data. See FIRA for freelancers.
  • Purpose code: The RBI purpose code list has no code named for UI/UX design. P0802 is "Software consultancy/implementation (other than those covered in SOFTEX form)", P0807 is "Off site software exports" and P1099 is "Other services not included elsewhere". Agree the code with your AD bank. See purpose code for design services.
  • LUT: A GST-registered designer files a Letter of Undertaking in Form GST RFD-11 under CGST Rule 96A to export without paying IGST. See LUT filing on the GST portal.
  • GST reporting: Export invoices that meet the conditions are zero-rated supplies under IGST Act section 16. Report them as zero-rated in your GST returns, and keep the invoice, the inward remittance record and the LUT acknowledgement together.
  • EDF: Regulation 3(2) requires an EDF within 30 days from the end of the invoice month, and one EDF can cover a month's exports. Regulation 2(1)(e) defines software to include any drawing or design on a non-physical medium, so ask your AD bank whether it treats your design files as software. See EDF form for exports.
  • SOFTEX: A.P. (DIR Series) Circular No. 20 supersedes the SOFTEX circulars from 1 October 2026. Exports that were declared on SOFTEX forms before are now declared on the EDF. See what is SOFTEX for the earlier process.

What tax applies to international income for UI/UX designers?

UI/UX design fees from overseas clients are usually a zero-rated export for GST and taxable income in India. Under IGST Act section 16, an export of services under an LUT carries no IGST. Income tax applies under the Income-tax Act, 2025 from tax year 2026-27, and earlier years stay under the 1961 Act.

  • GST zero-rating: A supply meeting the five conditions in IGST Act section 2(6) is an export of services. The conditions include a recipient outside India and payment in convertible foreign exchange, or in INR where RBI permits. See GST on export of services.
  • Fees and GST: Fees that an India-based provider, gateway or bank charges you are a domestic supply and can carry GST. Keep those tax invoices, because registered designers may be able to claim input tax credit.
  • Income tax: The Income-tax Act, 2025 replaced the 1961 Act from 1 April 2026. Income earned from that date falls in tax year 2026-27. Report design fees as business or professional income in the year you earn them.
  • Section 58: The presumptive schemes under old sections 44AD, 44ADA and 44AE are consolidated in section 58 of the 2025 Act, per the Income Tax Department FAQ. Check which scheme your design work fits before choosing one. See section 44ADA for freelancers.
  • Withholding: The IRS sources income from personal services where the services are performed. A US client may ask for Form W-8BEN to document that you are a foreign person. If any overseas client deducts tax, keep its certificate for your Indian return. See W-8BEN for Indian freelancers.

Frequently asked questions

Which RBI purpose code should UI/UX designers use for app and website design work?

The RBI purpose code list has no code named for UI/UX design. UI/UX designers often match the code to the deliverable, such as P0802 for design delivered as part of software work, or P1099 "Other services not included elsewhere". Banks decide which code they accept, so confirm it with your AD bank. See P0802 purpose code.

Do UI/UX designers file the EDF before or after receiving payment from October 2026?

Regulation 3(2) requires the EDF within 30 days from the end of the invoice month. Exporters of services other than software may file on or before receiving payment instead. Because software includes digital designs under Regulation 2(1)(e), UI/UX designers should ask their AD bank which option applies to their work.

Does the SOFTEX form still apply to UI/UX designers who deliver prototypes and design files?

No. A.P. (DIR Series) Circular No. 20 supersedes the SOFTEX circulars from 1 October 2026. UI/UX designers now declare their service exports in an EDF, including design files that count as software under the 2026 regulations. The specified authority for software is an AD bank or STPI, or the SEZ Development Commissioner inside an SEZ.

Do UI/UX designers charge GST on design work for clients outside India?

Usually not. Design work for a client outside India that meets IGST Act section 2(6) is an export of services. Registered UI/UX designers who file an LUT under CGST Rule 96A export without paying IGST. See GST on export of services.

How long can UI/UX designers wait for payment under the FEMA realisation rule?

UI/UX designers must receive payment within nine months from the invoice date, or twelve months if the invoice is raised or settled in INR. A 22 September 2026 amendment set these limits, replacing fifteen and eighteen months. Your AD bank may extend the period on request. See export realisation period.

Is there a ₹25 lakh limit when UI/UX designers collect payments through a PA-CB?

Yes. The RBI Master Direction on Payment Aggregators caps each inward transaction processed by a cross-border payment aggregator at ₹25 lakh. A UI/UX design project invoiced above this amount can be split into milestones or paid by SWIFT wire to an Indian bank. See PA-CB transaction limit.

Can UI/UX designers use section 58 of the Income-tax Act 2025 for design income?

Section 58 of the Income-tax Act, 2025 now holds the presumptive schemes from old sections 44AD, 44ADA and 44AE, according to the Income Tax Department FAQ. The new Act applies from tax year 2026-27. UI/UX designers should check which scheme their work fits. See 44AD vs 44ADA.

Why do US clients ask UI/UX designers in India for Form W-8BEN?

A US payer uses Form W-8BEN to document that a UI/UX designer is a foreign person. You give the form to the payer, not the IRS. A signed W-8BEN generally stays valid until the last day of the third calendar year after signing, unless your details change. See W-8BEN for Indian freelancers.
